Job description · HVAC
An answering service for HVAC companies that never misses the 2 a.m. no-heat call
An AI receptionist answers your HVAC company’s phone 24/7 in your business name, asks what a dispatcher would ask — where, what is wrong, how soon — and on the Always-On plans books the job straight onto your calendar. It costs a flat monthly price, not a per-call fee, and it tells every caller it is an AI in its first sentence.
We are launching soon. No line goes live until the receptionist passes our published 100-call test (misroute rate under 2%, not one missed emergency). Reserve a spot — free, no card — and you get the demo number and signup link first the day it passes.
AI-OPERATED · DISCLOSED ON EVERY CALL
01 The calls an HVAC shop loses
- July, 98 degrees, you are in an attic with your hands inside an air handler. Two calls go to voicemail. Both callers book the next company that picked up.
- A January night, a furnace is out and the house is dropping toward 40. Nobody answers, so the homeowner keeps dialing down the list.
- A maintenance-plan customer calls to schedule the fall tune-up, gets voicemail twice, and quietly stops renewing.
An answering service only earns its fee if it answers like your own dispatcher and turns the call into a booked job (on the Always-On plans) or a captured lead — not a voicemail you have to chase. That is the whole job of this one.
02 Exactly what callers hear
Every call, day or night, opens with this sentence — only the business name changes, and nothing can be inserted ahead of it:
“Hi, you've reached [Business Name]. I'm an AI assistant, and this call may be recorded. If this is a life-threatening emergency, hang up and dial 911. How can I help?”
If a caller then describes danger — a gas smell, a carbon-monoxide alarm, smoke, anyone hurt or unable to breathe — the receptionist says “If this is a life-threatening emergency, hang up and dial 911.” again, first, before anything else. Then it asks whether the caller is safe, takes the message, and sends your emergency contact the transcript. It never promises a dispatch time.
03 What it does with an HVAC call
- Asks the dispatcher questions: address, what the system is doing, how old it is, how soon they need someone
- On the Always-On plans, books the job into Google Calendar, Jobber or Housecall Pro — your real schedule, not a message pad; the $99 After-Hours plan takes the message and captures the lead instead
- Warm-transfers to your mobile during your hours, when your mobile is not the business line we answer; after hours it captures the job instead of losing it
- Texts the caller one booking confirmation — informational only, no offers, STOP honored at once
- Quotes only prices you have published; it never invents a number for a condenser swap on the phone
- Emails you a monthly report: calls answered, jobs booked, after-hours saves
04 What it costs
Flat monthly, no contract, cancel in writing any time: $99 a month for after-hours and overflow only (it takes the message and captures the lead — calendar booking comes with the Always-On plans), $179 for every call around the clock, or $249 with your Google Business Profile kept up alongside the phone. Minutes and the full tier details are on the pricing section.
05 Straight answers
- Will callers know it is an AI?
- Yes — the first sentence of every call says so, and that cannot be turned off. Several states require the disclosure; we would say it anyway.
- What happens when a caller smells gas or a CO alarm is going off?
- The receptionist repeats “If this is a life-threatening emergency, hang up and dial 911.” before anything else, asks whether the caller is safe, then takes the message and sends your emergency contact the transcript. It is a receptionist, not an emergency service, and it says so.
- Can it book jobs on my real calendar?
- On the Always-On plans ($179 and $249), yes — Google Calendar, Jobber or Housecall Pro, or just an email per booking if you prefer. The $99 After-Hours plan takes the message and captures the lead instead of booking.
- What does an HVAC answering service cost here?
- $99 a month for after-hours only, $179 for 24/7, $249 bundled with Google Business Profile management. No per-call fees; minutes past the plan are $0.30 each.
